ASX Online forms for announcing corporate actions

ASX online forms for announcing certain corporate actions were introduced on 22 September 2014 and became mandatory on 29 June 2015.  The forms are required to first announce and subsequently update dividends/distributions, interest payments/interest rate changes, securities splits/consolidations and cash capital returns.   The new process allows straight-through-processing of corporate action data both within ASX and externally – thereby introducing greater efficiency and accuracy in corporate action processing across the industry.

Accessing online forms and updates

The online forms are only accessible to those with an ASX Online Companies account with announcement lodgement privileges.  The relevant pages within ASX Online are the “Create online forms” page and the Manage online forms page which appear in the menu on the left hand side of the home page.

The Create online forms page allows you to launch a new online form. Any action after first launching a new online form from the Create online forms page is performed from the "Manage online forms page" – this includes accessing saved drafts, creating updates to an earlier announcement, cancelling a previously announced corporate action, tracking the progress of a submitted online form announcement and creating “comments” for yourself or colleagues relating to draft or previously released forms.

Rule requirements

The substantive information requirements of the online forms (ie what information an entity must provide about each corporate action) are set out in Listing Rule Appendices 3A.1-3A.4.   Two additional appendices (3A.5 and 3A.6) are not available as online forms but do set out new information requirements for the announcement of in-specie capital returns and calls.

Listing rule 3.20.4 requires listed entities to provide the information in Appendices 3A.1- 3A.6 within the timeframes specified in those appendices.

Listing Rule 15.3 requires that where ASX makes available an online form relating to a matter, entities must use the online form to make a market announcement on that matter.  Any update to or cancellation of that announcement must be made using and “update” to the original online form.  Guidance Notes 14 (ASX Market Announcements Platform) and 20 (ASX Online) refer to ASX online forms.

Training environment

ASX has created an ASX Online training environment which is available here: https://trainwww.asxonline.com/login/

You will be able to log in using your existing credentials for ASX Online but will be prompted to change your password for the training environment. The training environment reproduces ASX Online for Companies but is not connected to the ASX market announcements platform or any other system (for example you can use the PDF or online form announcement process, but release of the announcement and resulting confirmations are simulated). The data on the ASX Online training environment will be refreshed every week on Friday evening. Data changes saved by users in the training environment (including any announcements drafted or submitted) will be deleted at the time this data refresh occurs.
